System Overview

The Journal Verification System (JVS) is designed as a supporting tool that enables users to efficiently search and verify journal recognition information in accordance with HEC criteria.

💡 Quick Start: For first-time users, start with the "Verify Articles" tab and download the template to begin verification.

🔍 Journal Search Guide

Search through the HEC-recognized journal database using various filters and criteria.

1 Access Search Tab

Click on the "🔍 Search Journals" tab in the main navigation.

2 Apply Filters

Year: Select specific FY or "All"
Category: Filter by W, X, Y, Z categories
Title/ISSN: Search by journal title or ISSN number
Subject Area: Filter by specific subject domain

3 Interpret Results

Results show journal details with validity periods
* indicates initial date of recognition
Click column headers to sort results

💡 Pro Tip: Use partial journal titles for broader searches. The system supports fuzzy matching.

⚠ Note: Only Admin users can add or edit journal entries by double-clicking on rows.

📑 Article Verification Guide

Verify your research articles against HEC-recognized journals in batch processing.

1 Download Template

Click "📥 Download Articles Template" to get the Excel template with required columns:

2 Prepare Your Data

Fill the template with your article information
Recommended: 50-100 articles per batch
Ensure dates are in YYYY-MM-DD format
Include at least one of ISSNp or ISSNe
Save the completed Excel file

3 Upload and Verify

Enter Faculty Name
Select your completed Excel file
Click "Verify" to start processing
Monitor progress bar for completion

4 Review and Edit Results

Click on "Recognized" or "Category" cells to edit
Use dropdowns for quick corrections
Click "Confirm Changes" to save edits
Download reports in Excel, CSV, or Word format

💡 Data Quality: More accurate ISSN and journal names result in better verification accuracy.

🌐 Online Article Verification

Automatically verify articles online and extract actual publication dates from journal websites.

1 Download Enhanced Template

Use the enhanced template that includes URL/DOI column for online verification.

Additional Column: URL/DOI - Provide article DOI or direct URL

2 Prepare Data with URLs

DOI Format: 10.1234/example or doi.org/10.1234/example
Direct URLs: Full article page URL
Ensure URLs are accessible without paywalls
Include all other required article information

3 Run Online Verification

Upload your enhanced Excel file
System automatically visits each URL
Extracts publication dates from web pages
Compares with your provided dates
Flags discrepancies automatically

4 Interpret Results

Status	Color	Meaning
Verified	Green	Online date matches provided date
Needs Review	Yellow	Date discrepancy found
Failed	Red	Could not verify online

💡 Best Practices:

Use DOI whenever available - most reliable
Test URLs in browser before uploading
Allow extra time for large batches (1-2 seconds per article)

📊 Dashboard & Reports

Generate comprehensive summaries and download verification reports.

1 Access Dashboard

Go to "📊 Dashboard" tab after completing article verification.

2 Load Results

Enter faculty name to load specific results
Leave blank to load last verification
Click "Load Dashboard" to generate summary

3 Understand Metrics

Metric	Description
Total Articles	Number of articles processed
Recognized	Articles in HEC-recognized journals
Unrecognized	Articles not in HEC database
W/X/Y/Z	Breakdown by journal category

4 Download Reports

Available formats for official documentation:

Excel: Full data with formatting
CSV: Raw data for analysis
Word: Formatted report for submissions

🔧 Troubleshooting Guide

❌ Upload Errors

Problem: File upload fails

Solution: Ensure Excel file is not open in another program and uses correct column names

Problem: Articles not recognized

Solution: Check journal name spelling and ISSN accuracy
